I always removed the cover and sucked out the oil, after a failed attempt of sucking out the dipstick once. You can get the gearbox much cleaner that way and get all the oil out. Taking off the cover is pretty easy. I found a handy way to get the most oil out of the XU's is to gently heat the gearbox with a heat gun.
I have changed the gearbox oil a couple of times and found that fresh oil seems to help a bit, always used the LV 75W from Toyota. Car is used as a taxi so needs some changes, now on 200k miles. Getting the revs up to about 2400rpm before going for the change helps prevent crunching from 1st to 2nd, or taking out of 1st then moving gearstick

Although, when I enquired at the local dealership they said that it should be done about every 40k miles (and uses 7-8 litres of oil). Strange ! They also recommended that I use Castrol Dexron III because it's what they use. My car has done about 103k miles so I guess I can hold for about another 10-15k miles.
